Import Contacts from iPhone

This article explains how to export the contacts from your iPhone to a CSV file, which you can then import into RealOffice360 CRM. iPhones don’t support exporting contacts directly to CSV, but it’s easy to do with one of the methods below.

Once you have a CSV file, you can Import Contacts from CSV to RealOffice360 CRM.

Choose the method that works best for you:

  • Method 1: Using iCloud + Google Contacts

    Best method using your computer and a free Google account (jump↘)

  • Method 2: Using an iPhone App

    Simple method using your phone with a contact export app (jump↘)


Method 1: Using iCloud + Google Contacts

This is the most reliable method and uses only Apple and Google services. It works by exporting your contacts from iCloud as a vCard file, then using Google Contacts to convert it to CSV.

Part A: Export your contacts from iCloud

First, make sure your iPhone contacts are syncing to iCloud. On your iPhone, go to Settings > [Your Name] > iCloud and make sure Contacts is toggled on.

Then, on a computer or tablet:

  1. Go to icloud.com/contacts and sign in with your Apple ID.
  2. Select all your contacts. Click the Select All Contacts option near the top of the contacts list. You can also hold Ctrl (Windows) or Command (Mac) to select specific contacts.
  3. Click the Share/Export icon (on the right side of the page) and choose Export vCard. A .vcf file will download to your computer.

Part B: Convert to CSV using Google Contacts

  1. Go to contacts.google.com and sign in with your Google account (any free Gmail account will work).
  2. In the left sidebar, click Import.
  3. Select the .vcf file you downloaded from iCloud and click Import.
  4. Once imported, click Export in the left sidebar.
  5. Select Google CSV and click Export. A .csv file will download to your computer.

Tip: After exporting, you can delete the imported contacts from Google if you don’t want them stored there. Just click the Imported label in the left sidebar, select all, and delete.

Method 2: Using an iPhone App

If you prefer to do everything directly from your iPhone without needing a computer, you can use a contact export app from the App Store. Below are two trusted iPhone App options, which process your contacts locally on your device and do not require you to create an account.

Option A: Export Contacts Pro (by Stefan Keller)

This is our top recommendation. It’s built by an experienced Apple developer, offers flexible export options, and has a clean privacy record (the App Store confirms no data is collected). The vCard backup feature is free. Exporting to CSV or Excel requires a one-time in-app purchase (approximately $5, no subscription).

  1. Download Export Contacts Pro from the App Store.
  2. Open the app and grant it permission to access your contacts.
  3. Choose CSV as the export format.
  4. Select the contacts or contact groups you want to export (you can also choose which fields to include).
  5. Tap Export and choose how to save or share the file (email it to yourself, save to the Files app, AirDrop to your computer, etc.).

Option B: Contacts2XL (by Technomagination)

A simpler, no-frills option if you just need a quick export of all your contacts. It’s $0.99 one-time (no subscription) and the App Store confirms no data is collected by the app.

  1. Download Contacts2XL from the App Store ($0.99).
  2. Open the app and grant it permission to access your contacts.
  3. The app will export all your contacts to a CSV file automatically (no group options).
  4. Choose how to share or save the file (email, AirDrop, Files app, Dropbox, etc.).

Note: Contacts2XL exports all contacts at once and does not let you select individual contacts or fields. If you need more control over what gets exported, use Export Contacts Pro (Option A) instead.

Helpful Tips

  • Clean up before you import. Take a few minutes to remove old or duplicate contacts from your CSV before importing. This saves time and keeps your CRM organized from the start.
  • Check your column headers. RealOffice360’s import wizard works best when your CSV column names match common field names like First Name, Last Name, Email, Phone, etc.
  • Save as .csv, not .xlsx. RealOffice360 imports CSV files only. If you edit your file in Excel or Numbers, make sure to save it as a .csv file before importing.
  • Privacy matters. Both recommended apps process contacts locally on your iPhone. Your contact data is not uploaded to any external server during the export.
